Abstract Submittal is now closed.

Everything you could possibly want to know about abstract submittal for ERF 2005


Who should submit:   Anyone wishing to give a presentation (oral or poster) at the ERF 2005 Conference or the Chesapeake Bay Research Consortium (CRC) Colloquium.
Deadline:   All abstracts must be RECEIVED by March 15, 2005 11:59PM EST/March 16, 2005 04:59GMT.
Fee:   $50USD on-line submissions; $70 USD mail-in submissions
Mail-in submissions:   Accepted, but on-line submissions are recommended. Please see below for instructions.
Submittal process:   This is a three-step process. Be prepared to submit contact information, abstract information and payment information
Language & units:   All submissions must be in English, preferably using metric units.
Title:   25 words maximum, written like a regular sentence.
Abstract:   200 words maximum.
Formatting:   You can use bold, italics, underline, superscript and subscript by using the formatting buttons.
Symbols:   You can use a number of symbols by clicking on the symbols provided.
Oral or Poster   Select whether you will be giving an oral or poster presentation.
Sessions:   You must choose two. If your abstract is invited, make that session your first choice. View the Scientific Program page for a list of sessions and their descriptions.
Authors:   There is room for up to 10 authors. Please provide as much information about each author as possible.
Confirmation:   You will receive a confirmation email to the address you provided after the process has been completed.
One presentation:   It is Federation policy to allow only one presentation per person. However, if you are a participant in the CRC Colloquium, you may present once at the ERF conference and once during day 2 of the CRC Colloquium.
Students:   Please indicate your status and whether you would like your presentation judged.

Who should submit:

  • Anyone wishing to give a poster or oral presentation must submit an abstract.
  • Whether you intend to present at the ERF conference or the special CRC Colloquium, you must submit an abstract and pay the submission fee.

    Note to Colloquium participants: You may present once during the ERF conference and also and once during day 2 of the CRC Colloquium. Contact Kevin Sellner (sellnerk@si.edu) with any questions.

  • Submissions accepted January12, 2005 until March 15, 2005 11:59PM EST/March 16, 2005 04:59GMT. No exceptions.
  • All abstracts must be RECEIVED by 15 March 2005, not postmarked. Please take this into consideration when submitting your abstract.
  • Abstracts will not be accepted by fax or email.

Fee:

  • The fee for on-line submissions is $50USD. The fee for mail-in submissions is $70USD.
  • You may pay for on-line submissions using a credit card (VISA, MasterCard, or American Express).
  • Your credit card statement will reflect payment to Schneider & Associates (the conference management firm), not to the Estuarine Research Federation.

Submittal process:

  • Abstract submittal is a three-step process: first, enter contact information; second, enter abstract text; third, enter payment information. You will be given the opportunity to review your submissions at each step of the way. DO NOT use the back button to make corrections; use the button marked “Change or edit submission” only!
  • Double-check your submission because ERF cannot edit your work. Your entry will be published as you submit it.

Title:

  • Your title must not exceed 25 words and should be submitted as you would write any sentence. Capitalize only the first letter of the first word and any proper nouns. You may use formatting and symbols in your title.

Abstract:

  • The abstract text cannot exceed 200 words and can only be one paragraph. Separate sentences with only one space. Figures, pictures, keywords or author information in the text box are not acceptable.
  • You will be able to cut and paste text into the abstract box from another word processing programming. However, FORMATTING and SYMBOLS will not be recognized. You must use the formatting buttons and symbols adjacent to the text box to enter symbols or choose formatting.

Formatting and Symbols:

  • Formatting and symbols will not be recognized if you cut and paste your submission from a word processing program. Use the formatting buttons and symbols adjacent to the text box.
  • The "Close All Tags" button ensures that the coding is correct. Computer information or "tags" must be present both before and after the formatted text.
  • The computer coding for formatting will appear in the text when you review it.

Oral or Poster:

  • Posters are an essential part of the conference scientific program and will be used as stand-alone sessions, linked to oral sessions and/or integrated into oral sessions.
  • Please indicate if you will be giving an oral or poster presentation.
  • The scientific program committee may ask you to give a poster presentation rather than an oral presentation. The committee appreciates your cooperation in this matter.

Sessions:

  • You must give two choices of sessions. If you are submitting an invited abstract, please select the session to which you were invited as your first choice.
  • If you are unfamiliar with the sessions, please visit the Scientific Program page to review sessions and descriptions.
  • The program committee will do its best to accommodate your session choices, time and space permitting. Please be aware that your abstract may be moved to a session other than the one you have chosen, or you may be asked to give a poster presentation rather than an oral presentation. The committee appreciates your flexibility in this matter.

Authors:

  • You will have spaces provided for up to 10 authors. Please provide as much information about each author as possible.
  • Be sure to indicate which author will be the presenting author.
  • If you have more than 10 authors, please contact helens@sgmeet.com.

Confirmation:

  • You will receive a confirmation email once the process is completed. For this reason, be sure your email address has no misspellings.
  • Your confirmation will include your abstract identification number, which may be used to submit changes to abstract prior to March 15, 2005.

One presentation:

  • You may only present one talk or poster during the course of the conference. You may co-author as many abstracts as you wish.
  • If you are participating in both ERF 2005 and the two-day CRC Colloquium, you may present once during ERF 2005 and once on the second day of the CRC Colloquium.

Students:

  • Be sure to indicate your status (undergraduate, masters or PhD).
  • Be sure to indicate whether or not you would like your presentation to be judged, and therefore eligible for Best Student Paper Awards.

  • Please make your abstract as informative and representative of your presentation as possible.
  • You must register for the conference to make a presentation.
