Posters

Many of our sessions will include both oral and poster presentations and we will be working hard to insure that these two formats are fully integrated. In addition to the standard poster format, we will be able to provide a limited number of poster presentations in electronic format.  All posters will be on display for 2 days during an assigned poster session, and will have both lunchtime and late afternoon viewing opportunities.

The following information and guidelines will help you prepare your poster presentations. Contact Walt Nelson at nelson.walt@epa.gov, for information. 

Poster Hall - General

The Poster and Exhibit hall is located in the Oregon Convention Center on the first level; Exhibit Hall sections A & A1.  Posters will be organized by theme. Each poster will be assigned a number and location that will correspond to a map located in the conference program and in the poster hall.

Note: If there are posters affiliated with an oral session, the convener will draw attention to the posters associated with that particular session. 

Important Times (Coffee Breaks, Lunch Concessions and Happy Hours)

Each poster will be on display for 2 days.  Coffee breaks, lunch concessions, and happy hours will occur inside the poster/exhibit hall.

Please plan to mount your poster on your assigned board between 07:00 am and 09:00 am on your first assigned day (either Monday or Wednesday). 

Presenters are requested to be at their posters from 12:30 noon until 1:45 pm on their assigned day (sent to you via email).

Please remove your poster and any associated materials between 6:00 pm and 7:00 pm on Tuesday or between 4:00 pm and 5:00 pm on Thursday, depending on your assign session.  If not removed by you, your poster will be removed by conference workers and recycled. 

Poster Information Booth

A poster information table will be located near the main poster hall entrance.  Please stop by to confirm your poster position, pick up pushpins and a poster hall guide, and ask questions. 

Mounting

Each poster will be displayed on 8-foot wide by 4-foot high board that includes a 2-inch border.  Push pins for mounting your poster will be available. 

Dimensions

Each poster must be less than 92 inches (233 cm) wide and 44 inches (112 cm) high. Text should be large enough to read from several feet away. 

Format and Content Recommendations

Keep your poster simple; provide a clear "take-home" message.  You can provide further details in discussions with attendees and by providing supplemental information by your poster (e.g., reduced copies of the poster, business cards, printed abstracts, etc.). Special Requests for Your Display Space

All poster presenters are given a poster board and push pins. However, CERF recognizes that new technologies and media have expanded and enhanced the types of presentations that may be given during the poster sessions.

Plan to order and pay if you require any of the following special request items:

  • Electrical supply (single receptacle, 5-amp, 120-volt plug = $79) can be provided to your space upon request.  Power-access constraints may apply.  Note:  Presenters will be responsible for providing their own computers, projectors, screens, electrical adapters, extension cords, power strips, surge protectors, etc.
  • Small tables (4' table that is skirted) may be available for computers upon request for an additional fee of $65 per table.
  • Internet connections (either T-1 or wireless) may be available for an additional fee ($99 plus tax per day) and will require advance coordination with conference organizers. 

Student Presentation Awards

To encourage quality work and to reward those who show creativity and good science through poster displays, the top graduate and undergraduate poster (and oral) presentations will receive recognition and cash awards.  If you did not request to be judged on the abstract submittal form, you may still request to be judged by contacting Joel Darnell or Jason Kent.  Please go to http://www.sgmeet.com/cerf2009/student_judges.htm for further information.    

Additional Considerations/Recommendations

  • Provide a schedule of times you (or someone else) will be available at your poster for questions or to provide additional information, in addition to your assigned presentation day/time.
  • Make yourself available during the conference for follow up discussions.
  • Provide preprinted abstracts with contact information.
  • Bring a good supply of business cards.
  • Include your photo with your poster.
  • Please assemble and remove your poster on time.
  • The Conference Center provides after-hours security in the poster hall.
  • The poster hall will close after 7:00 PM.
